Privacy Policy
This Privacy Policy explains how OpenAna collects, uses, and protects information in connection with BioMedAna, including the BioMedAna sandbox trial environment described in our Terms and Conditions.
1. Scope
This Privacy Policy describes how OpenAna (“Company,” “we,” or “us”) collects, uses, and discloses information in connection with the BioMedAna website, the BioMedAna sandbox trial environment, and related communications. It does not apply to information submitted by customers into a production BioMedAna deployment, which is governed by the applicable customer agreement.
2. Information we collect
2.1 Information you provide. When you request a white paper, ebook, webinar material, sandbox access or contact us, we collect information such as your name, work email address, company, role, the modalities you work with, and any message you choose to share with us.
2.2 Automatically collected information. When you visit our website, we and our service providers may automatically collect technical information such as IP address, browser type, device information, and pages visited, typically through server logs and similar technologies. On the sandbox request page, HubSpot's tracking code may set a browser cookie that helps associate your form submission with your website visit, subject to your browser and cookie settings.
2.3 Information from third parties. We use HubSpot as our form-processing and customer relationship platform. Contact and sandbox form submissions are transmitted to and stored in HubSpot in accordance with HubSpot's own privacy practices. Requested resources are delivered through Microsoft email services; the delivery record includes your work email and requested resource.
3. How we use information
We use the information we collect to: (a) evaluate and respond to sandbox access requests and other inquiries; (b) deliver requested resources by email and provision, administer, and communicate with you about sandbox access; (c) send product and related updates where you have opted in to receive them; (d) maintain the security, integrity, and acceptable use of our website and sandbox environment; and (e) comply with legal obligations.
4. Work email requirement
Resource download requests and the sandbox access form require a work (company) email address. Personal webmail addresses and known temporary or disposable email domains are not accepted, so that we can verify the requester's organizational affiliation and route access appropriately.
5. Sharing of information
We do not sell personal information. We may share information with service providers who process it on our behalf (such as HubSpot for form submissions and communications), as required by law, or in connection with a merger, acquisition, or sale of assets, subject to appropriate confidentiality protections.
6. Data retention
We retain information collected through resource requests, sandbox requests and contact forms for as long as reasonably necessary to respond to your request, administer sandbox access, and maintain business records, after which it is deleted or anonymized in accordance with our internal retention practices.
7. Your choices
You may opt out of product and related marketing emails at any time using the unsubscribe link in those emails or by contacting us at hello@biomedana.ai. Opting out does not affect transactional communications related to your requested resources or sandbox request.
7A. Marketing use of your company name
By accepting this Privacy Policy and our Terms and Conditions, you confirm, on behalf of the company or organization you represent, that we may identify that company or organization by name (and not by the name, title, image, or likeness of any individual) in our customer lists, case studies, website, sales presentations, and investor materials, solely to indicate that the organization has evaluated or used BioMedAna. This does not include use of your organization's logo or trademarks, and we will not attribute any quotation, endorsement, or specific result to your organization without its separate prior written approval of that specific content. This consent applies at the company or organizational level; it is not, and should not be understood as, consent to use the name, title, photograph, or other personal identifiers of any individual employee, contractor, or other individual.
You, or the organization you represent, may withdraw this consent at any time by written notice to hello@biomedana.ai. After we receive such notice, we will stop using the organization's name in new marketing materials and remove it from our website and other materials under our direct control within thirty (30) days, though we are not able to recall materials already published or distributed. Full details of this arrangement are set out in Section 15 (Publicity) of our Terms and Conditions, which is incorporated into this Privacy Policy by reference.
8. Security
We maintain reasonable administrative, technical, and organizational safeguards designed to protect the information we collect. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. International data transfers
Information you submit may be processed and stored in the United States or other countries where we or our service providers operate, which may have data protection laws different from those in your jurisdiction.
10. Children's privacy
Our website and sandbox environment are intended for business professionals and are not directed to individuals under the age of 18. We do not knowingly collect personal information from children.
11. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be reflected by an updated “last updated” date on this page. Continued use of our website or sandbox after changes are posted constitutes acceptance of the revised policy.
12. Contact us
Questions about this Privacy Policy or our data practices can be sent to hello@biomedana.ai.
